The EU Delegation in Lusaka operates as a fully-fledged diplomatic mission, coordinating closely with the Embassies and Consulates of EU Member States, and liaising with the Government of Zambia and COMESA across a broad range of areas.

Role Overview:

  • Administrative Assistant (Local Agent Group 2) The Administrative Assistant will join the Administration Section, a team of eight professionals, reporting directly to the Head of Administration.
  • This full-time position involves providing expert operational support across administrative, HR, financial, procurement, and infrastructure management tasks.

The role requires flexibility for occasional atypical working hours and offers a dynamic environment where responsibilities may evolve with the Delegation’s needs.

Key Responsibilities in Administrative Assistant Jobs in Lusaka Human Resources Management:

Oversee the full recruitment cycle for local agent positions, maintain personnel files, administer salary and benefits data, manage medical reimbursement requests, and support employment separation procedures in compliance with EU and Zambian regulations.

Financial Administration:

  • Manage petty cash disbursements with accurate record-keeping, assist in budget preparation and monitoring, record non-compliant expenditures, and ensure timely documentation uploads.

Procurement Coordination:

Handle the complete procurement lifecycle for tenders of varying values, monitor contract renewals, maintain contract records, and prepare annual procurement forecasts in line with EU financial regulations and EEAS guidelines.

Infrastructure and Lease Management:

  • Administer lease contracts for residences, expatriate accommodations, and offices, ensuring compliance with property management procedures and timely contract renewals.

General Administrative Support:

Provide assistance to the Head of Administration, serve as Imprest Account Holder when required, cover for the Administration Section Secretary during absences, and monitor relevant EU Delegation guidelines for procedural updates.

Qualifications and Experience Required Diploma in business administration, human resources, procurement, finance, or a related field relevant to the role. At least three years of relevant professional experience in administrative, HR, financial, or procurement support roles, preferably within an international or diplomatic setting, acquired post-diploma.

Proficiency in Microsoft Office applications including Word, PowerPoint, Excel, Outlook, as well as Webex and MS Teams. Preferred Assets University degree in a relevant discipline.

Experience in HR management, including recruitment and staff separation processes. Basic accounting and petty cash management skills.

Familiarity with procurement procedures, tendering, contract management, and procurement monitoring tools. Knowledge of EU administrative and financial regulations, EEAS guidelines, and Zambian labour laws.

Prior experience in international organizations or diplomatic missions. Compensation and Benefits The starting salary typically begins at ZMW 39,884 per month, commensurate with verified professional experience.
