Responsibilities:
Office Administration and Operations Management:
- Manage and coordinate the daily administrative activities of the travel firm to ensure efficient office operations.
- Maintain proper filing systems for company documents, employee records, client records, and operational reports.
- Handle official correspondence, documentation, reports, and administrative communication.
- Coordinate meetings, prepare meeting schedules, record minutes, and follow up on assigned tasks.
- Monitor office supplies, equipment, and general office needs to ensure smooth business operations.
- Ensure that office procedures and administrative policies are properly followed by all staff members.
- Support the development and implementation of HR policies, procedures, and workplace guidelines.
- Maintain accurate and confidential employee records, including employment documents, contracts, attendance records, leave records, and performance reports.
- Assist in recruitment processes, including preparing job descriptions, reviewing applications, scheduling interviews, and supporting staff selection.
- Coordinate employee onboarding processes to ensure new staff members understand company policies, responsibilities, and expectations.
- Monitor staff attendance, punctuality, discipline, and workplace conduct.
- Assist management in conducting employee performance evaluations and recommending areas for improvement.
- Support staff training and development initiatives to improve employee productivity and service delivery.
- Serve as a communication link between management and employees.
- Promote a positive working environment through effective communication and conflict resolution.
- Address employee concerns professionally and escalate major issues to management when necessary.
- Support employee welfare programs and initiatives that improve staff motivation and retention.
- Ensure employees comply with company rules, regulations, and professional standards.
Administrative Support to Management:
- Provide administrative assistance to the managing director and management team.
- Prepare reports, summaries, and updates required for management decision-making
- Assist in monitoring departmental activities and ensuring tasks are completed within deadlines.
- Maintain confidentiality of sensitive company and employee information.
- Provide recommendations on improving administrative processes and workplace efficiency.
Travel Firm Operational Support:
- Coordinate administrative activities between departments such as travel consultants, marketing, customer service, and visa processing teams.
- Ensure proper documentation and records management for travel-related activities.
- Support internal communication to improve service delivery and customer satisfaction.
- Assist in maintaining a professional corporate image of the travel firm.
Compliance and Policy Enforcement:
- Ensure employees understand and comply with company policies and procedures.
- Assist management in implementing disciplinary procedures where necessary.
- Ensure proper documentation of warnings, appraisals, promotions, transfers, and other employee-related matters.
- Stay updated with best practices in administration and human resource management.
Requirements:
- A degree or equivalent qualification in human resource management, business administration, management, or a related field.
- Proven experience working in an administrative or HR-related role.
- Strong knowledge of office administration and human resource practices.
- Excellent communication and interpersonal skills.
- Ability to manage confidential information responsibly.
- Strong organisational and multitasking abilities.
- Good knowledge of Microsoft Office applications and administrative tools.
- Ability to work independently and support management effectively.
- Experience working in a travel agency, hospitality, or service-based organisation will be an added advantage.
