Business Administrator

Location: Lusaka, Zambia

Employment Type: Full-Time

We are seeking a highly organized, proactive, and detail-oriented Business Administrator to join our growing team. The ideal candidate will provide administrative support across business operations, ensuring efficient coordination, accurate documentation, and smooth day-to-day office activities.

Key Responsibilities

  • Manage company documentation, records, contracts, permits, and correspondence.
  • Coordinate meetings, appointments, and project schedules.
  • Support procurement by processing purchase orders, tracking deliveries, and liaising with suppliers.
  • Prepare and compile tender and bid submissions, ensuring all supporting documents are complete and submitted on time.
  • Maintain employee records, attendance registers, on boarding documentation, and payroll support.
  • Process invoices, monitor receivables, manage petty cash, and maintain financial records.
  • Maintain health and safety documentation, including incident reports, toolbox talks, and training records.
  • Handle communication with clients, suppliers, consultants, and regulatory authorities.
  • Manage office supplies, filing systems, and ensure compliance documentation remains current.
  • Perform other administrative duties as assigned.

Qualifications & Requirements

  • Diploma or Bachelor's Degree in Business Administration, Office Administration, Management, or a related field.
  • Minimum of 2 years' experience in an administrative role (construction, engineering, branding, or related industries is an advantage).
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, and Outlook).
  • Ability to multitask, prioritize work, and meet deadlines.
  • High level of professionalism, integrity, and attention to detail.
