Employment Information

The Role

  • We're looking for an exceptional Executive Assistant to support our COO directly. This is not a traditional, task-only EA role. The COO's remit is very broad; spanning operations, finance, investor relations, legal, HR and office maintenance amongst many things. The role extends to supporting both the professional and personal sides of a busy executive's schedule and commitments. You'll be exposed to a wide range of work, trusted with a high degree of discretion, and given real ownership. The right person is sharp, fast, resourceful, learns fast and genuinely excited to make someone's working life run seamlessly.

What You'll Do

  • Manage the COO's calendar, meetings, travel, and day-to-day priorities across both professional and personal commitments, anticipating needs before they arise.
  • Handle correspondence and communications on the COO's behalf, both written and verbal, with professionalism and a consistent voice.
  • Manage and grow social media presence and content across platforms, ensuring a polished, on-brand image at all times.
  • Prepare and refine documents, spreadsheets, reports, and presentations to a high standard.
  • Conduct research across a variety of topics, and turn findings into clear, usable summaries.
  • Track projects, deadlines, and follow-ups across multiple workstreams, keeping everything organised and moving.
  • Take on ad hoc projects and personal-support tasks as priorities shift.

What We're Looking For

  • 3+ years of experience as an Executive Assistant, Personal Assistant, or in a similar support role.
  • Advanced proficiency in Microsoft Office, with strong Excel skills formulas, data handling, clean formatting being essential.
  • Excellent communication skills, both in person and online: clear, professional, and confident in representing someone else's voice.
  • Confident and creative with social media platforms, content, and building an engaging online presence.
  • Highly organised and detail-oriented, with a strategic, big-picture mindset.
  • A proactive, hands-on problem solver who takes initiative and works through ambiguity.
  • Fast learner who works at pace and can operate independently with minimal oversight.
  • Strong research skills and a multidisciplinary mind. Must be comfortable picking up unfamiliar subjects quickly.
  • A high degree of discretion, trustworthiness, and comfort handling confidential and personal matters.
  • Ability to use AI tools intelligently to draft, analyse, summarise, and speed up work; applying judgement rather than copying and pasting output.

Advantageous

  • Prior experience in a startup environment, or supporting a founder or senior executive directly.
  • A background or qualification in finance or legal disciplines
  • Additional language
  • Women are encouraged to apply
