Employment Information

Meridian Wine Distribution is seeking a highly organised and detail-oriented HSE Administrator to provide administrative and document control support for all Health, Safety and Environmental functions. The ideal candidate will ensure compliance records, reports, certificates, and documentation are maintained accurately and efficiently.

Duties and Responsibilities

• Maintain supplier files, audit files, inspection records, toolbox talks, and HSE documentation.
• Ensure all certificates, reports, and compliance records are current and accessible.
• File and maintain incident reports, training records, and audit documentation.
• Assist with document control and HSE reporting.
• Assist with preparation and submission of legal and compliance documentation.
• Track equipment certifications, inspections, and expiry dates.
• Support audit preparation and compliance reporting.
• Communicate with employees, contractors, and departments regarding HSE documentation and requirements.
• Schedule meetings, inspections, training sessions, and HSE activities.
• Assist with coordination of HSE appointments and emergency response teams.
• Prepare HSE reports, presentations, and meeting minutes.
• Support incident administration and corrective action tracking.
• Assist HSE Officers with general administrative duties.
• Maintain accurate filing systems and document management practices.
• Ensure continuous development and up-to-date industry knowledge and competence.
• Facilitate effective communication and collaboration across departments.
• Support the overall SHE function in achieving compliance objectives.

Qualification and Experience

• Grade 12 (Matric).
• Certificate or Diploma in Administration, Occupational Health & Safety, or related field advantageous.
• Minimum 2 years' administrative experience.
• Experience in document control and compliance administration preferred.
• Strong computer literacy, particularly Microsoft Office.
• Excellent organisational and record management skills.
