Responsibilities:
Administrative Leadership and
Institutional Support:
- Support the Center's overall administrative leadership and strategic direction, ensuring
alignment with institutional goals and operational priorities.
- Lead administrative
planning and contribute to the development of Center‑wide
strategic plans, policies, and operational frameworks.
- Oversee the implementation
of administrative components of annual operational plans and budgets, ensuring
efficient and responsible use of resources.
- Develop, update, and
enforce administrative policies, procedures, and standard operating guidelines
to ensure consistency and compliance across the Center.
- Assume expanded
administrative leadership responsibilities when the Center Director is
unavailable to ensure continuity of operations and decision-making.
Operations, Facilities, and Resource Management:
- Oversee day‑to‑day
administrative operations, ensuring smooth functioning of all non‑academic
units and services.
- Manage center facilities,
equipment, and physical infrastructure to maintain a safe, functional, and
conducive learning environment.
- Coordinate procurement,
inventory management, and vendor relationships to ensure timely availability of
materials and services.
- Supervise the maintenance
of classrooms, labs, offices, and common areas, ensuring compliance with
health, safety, and environmental standards.
- Oversee administrative
support services including front desk operations, records management,
logistics, and general office administration.
Human Resources and Staff Administration:
- Participate in the
recruitment, onboarding, and orientation of administrative staff.
- Supervise administrative
personnel, ensuring effective performance management, task allocation, and
workflow coordination.
- Identify staff development
needs and facilitate training, workshops, and capacity‑building
initiatives.
- Promote a positive work
culture that encourages professionalism, accountability, and continuous
improvement.
- Ensure compliance with
institutional HR policies, labor regulations, and ethical standards.
Finance, Budgeting, and Compliance:
- Support the preparation,
monitoring, and management of administrative budgets, ensuring prudent
financial stewardship.
- Oversee financial processes
such as procurement documentation, expense tracking, and administrative
reporting.
- Ensure compliance with
institutional financial policies, audit requirements, and regulatory standards.
- Prepare periodic
administrative and financial reports to support informed decision-making by
leadership.
Student Services and Administrative Support:
- Oversee non‑academic
student services including admissions processing, registration support,
documentation, and general student inquiries.
- Ensure efficient handling
of student records, data management, and administrative support for academic
departments.
- Coordinate with the
academic team to ensure seamless delivery of student‑facing
services and timely resolution of administrative issues.
- Support student activities,
events, and engagement initiatives by providing logistical and administrative
assistance.
- Ensure that administrative
processes contribute positively to student satisfaction and overall student
experience.
Marketing, Awareness Creation, and Program Promotion:
- Actively support the
promotion of the Center’s programs through community outreach, school visits,
exhibitions, and public engagements.
- Collaborate with the
marketing team to develop promotional materials, digital content, and awareness
campaigns that highlight the Center’s strengths and services.
- Engage with prospective
students, parents, and community groups to increase enrolment and visibility of
the Center’s offerings.
- Represent the Center at
recruitment fairs, open houses, and public events to strengthen brand presence
and attract new learners.
- Work with internal teams to
highlight administrative excellence, student services, and operational
strengths as part of marketing and awareness initiatives.
External Relations, Partnerships, and Community
Engagement:
- Build and maintain
administrative partnerships with service providers, community organisations,
and government agencies.
- Liaise with external
stakeholders to support institutional initiatives, facility improvements, and
community‑based programs.
- Represent the Center at
administrative meetings, workshops, and collaborative engagements with partners
and stakeholders.
- Participate in community
events and institutional initiatives to enhance the Center’s reputation and
outreach.
- Support the development of
partnerships that improve operational efficiency and enhance student and staff
experience.
Professional Development and Continuous Improvement:
- Stay informed about
emerging trends in educational administration, facilities management, and organisational
leadership.
- Lead or participate in
administrative committees, task forces, and institutional improvement
initiatives.
- Support the implementation
of Center‑wide and system‑wide administrative policies and
innovations.
- Drive continuous
improvement in administrative processes, service delivery, and operational
effectiveness.
Requirements:
- Minimum qualification of a BSc
- 3 years of previous experience in a similar role
