JOB CONTEXT:
We are seeking a highly organized, proactive, and professional Personal Assistant to support a busy Financial Advisor. This role is ideal for someone who thrives in a fast-paced environment, enjoys working with clients, and has exceptional administrative and organizational skills.
As a Personal Assistant, you will play a key role in ensuring the smooth day-to-day operation of the advisor's practice by managing schedules, coordinating client communications, maintaining accurate records, and providing administrative support. You will act as a trusted point of contact for clients while helping the advisor deliver an exceptional client experience.



Key Responsibilities:
Administrative Support:

  • Manage and maintain the Financial Advisor's diary, appointments, and meetings.
  • Coordinate client reviews, consultations, and follow-up appointments.
  • Prepare meeting packs, reports, and documentation.
  • Draft and manage correspondence, emails, and client communications.
  • Maintain accurate filing systems and client records.
  • Assist with data capturing and updating client information.
Client Relationship ManagementL
  • Serve as the first point of contact for clients.
  • Build and maintain professional client relationships.
  • Follow up on outstanding documentation and client requests.
  • Ensure clients receive timely updates and support.
  • Handle client queries professionally and efficiently.
Financial Administration:
  • Assist with the preparation and submission of financial applications and documentation.
  • Track progress of applications and liaise with providers when required.
  • Ensure all documentation is complete, accurate, and compliant.
  • Maintain confidentiality of client financial information.
  • Assist with compliance and regulatory record-keeping requirements.
Office & Operational Support:
  • Coordinate meetings, travel arrangements, and events when required.
  • Monitor and order office supplies.
  • Assist with special projects and business initiatives.
  • Support the advisor with ad-hoc administrative duties.
QUALIFICATION & EXPERIENCE REQUIREMENTS:
  • Matric (Grade 12) required.
  • Relevant qualification in Administration, Business Management, Finance, or a related field advantageous.
  • Previous experience as a Personal Assistant, Executive Assistant, Administrator, or Financial Services Administrator preferred.
  • Experience with Life Insurance, Investments, Medical Aid, and Short-Term Insurance will be advantageous.
  • Previous experience within the Financial Services industry will be beneficial.
  • Strong understanding of financial products and client service will be an advantage.
Skills Requirements:
  • Experience within the financial services industry will be advantageous.
  • Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Strong administrative and organizational abilities.
Package & Remuneration:
Will be agreed based on qualifications, applicable experience and previous earnings.
