Procurement Officer

Employment Information

Main Tasks

  • Identify the company’s purchasing requirements and process/tackle purchase requests from the relevant departments.

  • Source suitable suppliers, subcontractors, materials, equipment, and services.

  • Request and analyse quotations from different suppliers.

  • Negotiate prices, payment terms, delivery schedules, warranties, and other commercial conditions.

  • Ensure that the company is benefiting from the best value for money options on the market.

  • Prepare and issue purchase orders after obtaining the required approvals.

  • Ensure that purchases comply with the company’s budget, procurement procedures, and approval limits.

  • Handling foreign shipments from receipt of order till delivery on site and ensure costings done in a timely manner. (Airfreight/Seafreight/Courrier Services).

  • Follow up with suppliers to ensure timely delivery of goods and services.

  • Coordinate with the Stores, Finance, Operations, and Project teams regarding orders and deliveries.

  • Verify that delivered items comply with the required specifications, quantities, and quality standards.

  • Resolve issues relating to delayed deliveries, damaged goods, incorrect items, or supplier performance.

  • Maintain accurate procurement records, including quotations, purchase orders, delivery notes, contracts, and supplier correspondence.

  • Update and maintain the approved supplier database.

  • Evaluate supplier performance based on price, quality, quantity, reliability, and delivery time.

  • Monitor market prices and identify opportunities for cost savings.

  • Assist with stock planning and avoid shortages or excessive purchases.

  • Ensure compliance with health and safety, legal, contractual, and company requirements.

  • Prepare procurement reports, cost comparisons, and expenditure analyses for Management.

  • Support tendering exercises and the preparation of procurement-related documents.

  • Develop and maintain professional relationships with suppliers and internal stakeholders.

  • Ensure impeccable coordination between the different stakeholders in the the company’s business ecosystem.

  • Carry out any other procurement-related duties assigned by Management.

Qualifications and Experience

  • Bachelor's Degree or Diploma in supply chain management.
  • Minimum 5 years of proven working experience in a similar position.

  • Experience in MEP sector will be an advantage.

  • Sound knowledge of international trade and logistics (Incoterms, customs formalities and dealing with forwarders)

Qualifications and Experience

  • Good communication skills.

  • Ability to work under pressure.

  • Proactive.

  • Proficient in Microsoft Office tools, including Word, Excel, PowerPoint, and Outlook
  • Valid driving license will be an advantage.
