Key Responsibilities
Tender Management & Coordination

  • Identify, evaluate, and monitor public and private sector tender opportunities.
  • Review tender invitations, specifications, scope of work, and contractual requirements.
  • Assess bid viability and recommend participation strategies.
  • Develop tender schedules and ensure all deadlines are achieved.
  • Manage the entire tender process from enquiry through to submission and award.
  • Maintain tender registers, databases, and submission records.
Bid Preparation & Proposal Development
  • Coordinate the preparation of technical, commercial, and financial proposals.
  • Compile and review tender documentation to ensure completeness and compliance.
  • Gather information from engineering, operations, procurement, finance, legal, and management teams.
  • Prepare executive summaries, technical submissions, company profiles, and supporting documentation.
  • Ensure all mandatory forms, certificates, and statutory requirements are included.
  • Review and approve final tender submissions before submission.
Commercial & Contract Management
  • Assist with pricing strategies, cost estimates, and commercial evaluations.
  • Review contractual terms and conditions to identify risks and obligations.
  • Coordinate risk assessments and mitigation strategies.
  • Support contract negotiations and client clarification meetings.
  • Facilitate project handover to operational teams following successful tender awards.
Compliance & Quality Assurance
  • Ensure compliance with client requirements, procurement regulations, and company policies.
  • Verify all legal, regulatory, and statutory documentation.
  • Maintain document control and revision management throughout the tender process.
  • Ensure submissions meet quality standards and internal approval requirements.
  • Support internal and external audits relating to tender activities.
Stakeholder & Client Management
  • Liaise with clients, consultants, suppliers, subcontractors, and internal stakeholders.
  • Attend tender briefings, site visits, and clarification meetings.
  • Build and maintain strong client and business relationships.
  • Support business development initiatives and strategic growth opportunities.
  • Provide regular updates to management regarding tender progress and opportunities.
Reporting & Performance Monitoring
  • Track tender outcomes, success rates, and pipeline opportunities.
  • Prepare tender performance reports and management summaries.
  • Conduct post-tender evaluations and lessons-learned reviews.
  • Analyse competitor activity and market trends.
  • Recommend improvements to tendering processes and procedures.
Team Leadership (Where Applicable)
  • Provide guidance and support to tender administrators and coordinators.
  • Coordinate multidisciplinary teams involved in bid preparation.
  • Facilitate knowledge sharing and continuous improvement initiatives.
  • Assist with training and development of junior team members.
Minimum Qualifications
  • Grade 12 (Matric).
  • Diploma or Degree in Business Management, Commerce, Supply Chain Management, Engineering, Quantity Surveying, Project Management, or a related field.
  • Tender Management, Bid Management, Procurement, Contract Management, or Project Management qualifications advantageous.
Experience
  • 3–10 years' experience in tender management, bid management, proposal development, procurement, commercial administration, or business development.
  • Experience managing public and private sector tenders.
  • Exposure to engineering, manufacturing, mining, construction, infrastructure, energy, logistics, industrial, or related sectors advantageous.
  • Previous leadership or team coordination experience advantageous.
