Position Overview:

Accounting Specialist Jobs in Lusaka As an Accounting Specialist at Sunda International, you will play a critical role in managing freight reconciliation, invoice auditing, payment processing, and ledger maintenance. You will work closely with internal teams and external carriers to ensure accurate financial records and timely resolution of discrepancies.

This role demands strong analytical skills and the ability to maintain meticulous records in a fast-paced transportation environment.

Key Responsibilities Freight Reconciliation & Variance Resolution:

• Collect and verify transport documents such as waybills, receipts, dispatch orders, and mileage logs to ensure authenticity and completeness.
• Perform monthly reconciliations with carriers covering unit prices, mileage, loading/unloading fees, subsidies, and deductions related to damages, delays, or losses.
• Collaborate with operations and carriers to resolve discrepancies and monitor irregular documentation.

Invoice & Payment Management:

• Audit carrier transport invoices for accuracy, including headers, tax IDs, amounts, remarks, and tax rates.
• Maintain invoice ledgers, coordinate with general ledger accountants, and address any red-ink adjustments or overdue issues.
• Prepare payment application packages and track payment progress while maintaining accounts payable ledgers.

Accounting & Ledger Maintenance:

• Establish and update freight expense ledgers detailing carriers, waybill numbers, shipping dates, freight amounts, deductions, and payment statuses.
• Enter accounts payable vouchers and accounting entries into the financial system based on statements and invoices.
• Compile statistical reports on freight costs and abnormal fees.

Business & External Stakeholder Coordination:

• Work closely with logistics and transportation departments to confirm operational rules, pricing, and deduction standards.
• Serve as the main contact for external carriers regarding freight reconciliation, invoicing, and payments, while recommending process improvements to reduce variances.

Documentation Archiving & Audit Support:

• Properly classify and archive transport contracts, waybills, reconciliation statements, and invoice copies.
• Support month-end and year-end financial closings by providing detailed freight cost breakdowns and assisting auditors and tax authorities with documentation.
• Qualifications and Skills Bachelor’s degree in Accounting or a related field is required.
• Familiarity with basic accounting principles, accounts payable processes, and freight settlement models within the transportation industry.
• Strong attention to detail and rigorous approach to data reconciliation.
• Excellent organizational and communication skills to coordinate with internal teams and external carriers.
• Previous experience in logistics or transportation accounting is preferred but not mandatory.
